Capsule CRM API integration and platform bridging

Getting Capsule CRM to talk to the rest of your systems means keeping contacts, deal stages and pipeline value correct on both sides, automatically. That is the integration work we do.

Fixed-scope engagements, delivered by UK-based integration engineers. Documentation and source code handed over on completion.

  • REST API v2
  • Webhooks
  • Party & opportunity sync

What we can connect Capsule CRM to

Capsule CRM holds companies, contacts and deals. Every other system in the business holds a partial copy of the same data. Our role is to make one the source of truth and keep the rest aligned — through the Capsule CRM API, webhooks where they exist, and a bridging layer where the other system has no usable interface of its own.

Ecommerce platforms

Bring customers, orders and lifetime value into Capsule CRM so service and marketing work from real purchase behaviour rather than a stale import.

Shopify, WooCommerce, Magento, BigCommerce

Accounting and billing

Sync companies, contacts, invoices and payment status between Capsule CRM and finance so sales sees what is paid and what is on stop.

Sage, Xero, QuickBooks, Chargebee

ERP and operations

Surface live stock, pricing and order status from the ERP inside Capsule CRM, and push won deals back as orders.

NetSuite, Dynamics 365, Unleashed

Support and success

Keep tickets, conversations and health scores aligned between Capsule CRM and the help desk so account owners are not surprised.

Zendesk, Freshdesk, Intercom

Marketing automation

Two-way contact and consent sync between Capsule CRM and the marketing platform, with suppression respected on both sides.

Mailchimp, Klaviyo, ActiveCampaign

Bespoke and legacy systems

A quoting tool, a portal, a services database — wrapped in a documented API and synchronised with explicit conflict rules.

SQL Server, MySQL, SFTP, SOAP

Common Capsule CRM integration use cases

Each is a defined, testable data flow rather than an open-ended development project.

01

Customer 360 sync

Orders, invoices, tickets and marketing engagement are aligned to one company record in Capsule CRM using per-field ownership.

Outcome: no more three versions of the same customer.

02

Quote-to-order

A won opportunity in Capsule CRM creates an order in the ERP or storefront with the agreed lines, pricing and terms.

Outcome: no re-keying between sales and operations.

03

Consent and suppression

Marketing consent set anywhere is reflected in Capsule CRM and the email platform within minutes, with an audit trail.

Outcome: a defensible consent position.

04

Billing status in the CRM

Overdue balances and credit limits from finance appear on the Capsule CRM record so account managers can act early.

Outcome: fewer awkward conversations after the fact.

05

Lifecycle triggers

First order, repeat order, churn-risk and renewal events from other systems raise tasks and workflows in Capsule CRM.

Outcome: proactive rather than reactive account management.

06

Data hygiene

Deduplication and normalisation rules run as records move into Capsule CRM, not as a quarterly clean-up project.

Outcome: reporting you can trust.

How a Capsule CRM API integration is delivered

Four stages, fixed scope agreed before any code is written. Typical delivery for a single-system integration is two to four weeks.

Stage one

Discovery and data mapping

We document the systems involved, the direction of each flow, and every field that must move — including the awkward ones such as tax, discounts and multi-currency.

Output: written integration specification.

Stage two

Fixed scope and estimate

The specification becomes a fixed-price proposal with a delivery schedule and defined acceptance criteria. No time-and-materials open ends.

Output: costed scope for sign-off.

Stage three

Build and testing

Development against a Capsule CRM development or sandbox environment and a sandbox of the destination system, with your own data used for acceptance testing.

Output: tested integration and test evidence.

Stage four

Go-live and handover

Controlled cutover with monitoring in place, followed by handover of code, credentials and documentation, and a period of hypercare support.

Output: live integration, owned by you.

Capsule CRM API bridging when there is no direct connector

The hard part is rarely Capsule CRM itself. It is making sure the system on the other end of the wire — often older, undocumented, or maintained by someone who has since left — still gets what it needs, in the shape it expects.

In practice that means a queue that absorbs traffic spikes, retries failed calls against the Capsule REST API v2 rate limits, and a log of every transaction so a disputed record can be traced end to end. When Capsule CRM changes its API, only the bridge needs updating — not every downstream system.

If there is no usable interface at all, the fallback is a flat-file exchange, a direct database connection, or a small REST wrapper we write and host ourselves — whichever fits what is actually there.

Included in every bridge we build

  • Error handling with alerting when a transfer fails
  • Automatic retries that respect the platform API rate limits
  • A transaction log for tracing any individual record
  • Idempotency so a repeated event cannot create a duplicate
  • Field-level mapping documentation you can hand to any developer
  • A staging environment that mirrors production

Capsule CRM integration FAQs

A single-direction integration between Capsule CRM and one business system is typically delivered in two to four weeks, including discovery, field-level mapping, build against a sandbox, acceptance testing with your own data and supported go-live. Multi-system programmes are phased.

Other platforms we integrate

Each platform has its own integration guide covering authentication, available endpoints and typical data flows.
